Overview

Our client is seeking an organized, detail-oriented, and enthusiastic part-time Travel Coordinator to manage and arrange business travel for our team. The ideal candidate is a proactive problem-solver who can handle multiple tasks simultaneously, ensuring all travel logistics are executed smoothly and within budget. This role is crucial in keeping our team connected and productive.


Responsibilities

  • Coordinate and book domestic and occasional international travel (flights, accommodations, transportation, reservations)
  • Maintain a master travel calendar and communicate detailed itineraries promptly
  • Ensure all bookings comply with company travel policies and budgets
  • Negotiate rates with vendors when necessary
  • Process travel expense reports, reconcile receipts, and track costs
  • Serve as the main point of contact for travel-related questions and issues
  • Provide real-time support for travelers during delays or cancelations
  • Coordinate with Finance and Executive Assistants regarding travel plans and expenses


Qualifications

  • Minimum of 3 years’ experience in travel coordination, administration, or executive assistance
  • Experience managing complex domestic and international travel
  • Strong organizational skills and attention to detail
  • Proficient in online booking tools and travel management software
  • Excellent written and verbal communication skills
  • Strong negotiation and budget management skills
  • Professional, discreet, and calm under pressure
  • Customer service-oriented and adaptable to changing needs
